VENDOR TERMS & CONDITIONS
All vendors understand that if their vendor application is successful, they agree to abide by the terms and conditions of vendor participation as outlined below.
MARKET VENDORS
Vendors will display and/or sell only the crafts described in your application. You are expected to have enough stock to last the duration of the Mercantile.
Booth sharing is allowed, as long as both vendors have applied under the same application, together. Booth sharing must be approved by The Mercantile.
The vendor and vendor’s staff must at all times behave in a manner that is polite and considerate of those attending the market and of other participants; willful damage or misconduct are grounds for immediate vendor termination.
We are a sustainable market, and our waste-free strategy is important to us! All vendors are subject to comply to the following terms:

ALL sampling materials must be recyclable, compostable, or reusable

Styrofoam, single use plastic bags and single use cutlery are not allowed at The Mercantile.

Every vendor must ensure their space is 100% clean at the end of each market.

Vendors must haul all compost, recyclables and garbage with them. Vendors may NOT use the garbage, compost or recycling bins behind The Apothecary.
Vendors understand that they are legally liable for any negative consequences following the purchase or consumption of their products. Vendors further understand that The Mercantile may contact them for event-related information.
Vendors are solely responsible for obtaining necessary permits, licences, facilities, insurance, and approvals required to sell your goods at the market. The Mercantile and The Apothecary are not responsible for any loss, damage, or theft as a result of failure to do so.
As a vendor, you will indemnify The Mercantile and The Apothecary in Inglewood Ltd. for any loss, fine, penalty, judgement, legal fees, and expenses reasonably connected with your failure to comply with the terms of this agreement or any liability, negligence, gross negligence or injury resulting from your products, actions, conduct, booth setup, display or trade activities.
VENDOR BOOTH & SET UP / TAKE DOWN
Your display must present a professional appearance. You are responsible for all display items including but not limited to a booth tent, tent weights, tables, chairs, tablecloths, and any additional materials.
Vendors will be notified of their location before the market with a map emailed to them. The Mercantile has the right to determine the location of vendors and the right to relocate vendors, which may be affected by a change in the floor plan or in the interest of optimum traffic. Day of booth location requests are not permitted, no exceptions.
Vendor set up begins at 9:30AM. Vendors agree to be market ready by 10:45AM the morning of the market. All vendors are required to remain fully set up for the entirety of the market. No exceptions. All vendors must dismantle their booth set up immediately following the close of the event.
The use of any electronic device or instrument that exhibits music is strictly prohibited at vendor booths for the duration of the market and reserved for market musicians, buskers, and/or The Mercantile.
No signs or display products may extend more than 8 feet above the ground or affect the display of other vendors. All vendors and display materials must remain within your booth space and not protrude in aisles.
PAYMENT
Once an application is accepted, an email will be sent to the vendor containing payment instructions, at which point the vendor has 7 days to pay all vendor booth fees. If payment is not received within 7 days, the spot is forfeited and becomes available for another applicant.
CANCELLATIONS + NO SHOWS
In the event you need to cancel your participation in The Mercantile, you must do so no later than 4 weeks prior to the selected market date. All cancellations must be received in writing to mercantile@the-apothecary.ca. Cancellations received via Social Media channels are NOT acceptable.

Cancelations received 4 weeks or more prior to the selected market date will be issued a 50% refund

Cancellations received less than 4 weeks prior to the selected market date are not eligible for a refund. No exceptions.
Rescheduling market dates is not permitted. No-show vendors may not be welcomed back to the market and all future booth fees may be forfeited.
MARKET FOOD VENDORS
All above terms and conditions listed to market vendors apply to food product vendors and food truck vendors, along with others noted below.
You must complete the appropriate food authorization forms as required by government authorities in advance of The Mercantile market. If you are selling or distributing for tasting or sampling any food or drink, you will comply with all applicable health regulations.
If your application to The Mercantile is successful, a copy of your Special Event Food Vendor Notification form (https://www.albertahealthservices.ca/frm-19882.pdf ) must be sent no later than 4 weeks prior to the market, to mercantile@the-apothecary.ca. Participation in the market will not be granted without this information.
Market food vendors are required to provide napkins and/or hand washing procedures and maintain the cleanliness of their display and immediate area.
VENDOR FEATURE ADD-ON: SOCIAL MEDIA & MARKETING PACKAGE
Our Social Media & Marketing Package is open to only three vendors per market, assigned on a first-come, first-served basis. All information and content you provide must be accurate and relevant to your market. Vendors participating in this package are expected to help promote and reshare posts when requested by the organizers. Once you are accepted into the market, you will need to complete a required questionnaire and submit photos within five business days; failure to do so may result in the removal of this add-on. Please note that the organizers reserve the right to change or cancel the package or a vendor’s participation at any time.
VENDOR FEATURE ADD-ON: PROFESSIONAL PHOTOGRAPHY PACKAGE
Package Inclusions: Each package includes 10 professionally edited digital photographs. Photography will take place on-site at your market booth, either before the market opens or during the event, as agreed upon based on your selected package of choice.
Confirmation & Payment: A booking is considered once accepted into market with questionnaire filled out and payment is fulfilled within 5 business days.
Cancellation & Rescheduling: Cancellations made more than 30 days before the scheduled shoot will be refunded half of the original payment. Rescheduling is permitted with at least 14 days’ notice, subject to photographer availability and if you are participating in more than one market.
Photo Timeline: Edited digital photos will be delivered within two weeks after the market event via a secure online link.
Usage Rights & Copyright: The client is granted a non-exclusive, perpetual license to use the delivered images for marketing, website, and social media purposes related to their business. Images may not be resold or used for third-party commercial purposes without written consent from the photographer. Copyright of all images remains with the Mercantile and The Apothecary In inglewood.
Image Selection & Editing: The photographer will select the best images for editing and delivery. Additional edits or requests outside the agreed package will not be given.
Vendor Responsibilities: Vendors are responsible for ensuring their booth is set up and ready at the agreed time. It is also the vendor’s responsibility to ensure that all persons appearing in the images have given consent to be photographed and for their images to be used for marketing purposes.
Limitation of Liability: In the unlikely event of weather rain or shine, equipment failure or unforeseen circumstances preventing the shoot, liability is limited to a full refund of all payments made.
MARKETING & SOCIAL MEDIA
Once accepted, vendors are expected to help showcase the event through their social networks and word of mouth. Please tag @mercantileon9th , @ApothecaryYYC and @SpringboardYYC so we can share your content to our Instagram stories. Vendors agree to promote The Mercantile on social media a minimum of 5 times through posts/stories prior to the market.
Posters will be available for pick up at The Apothecary in Inglewood prior to the market for promotional purposes. Vendors are strongly encouraged to participate in the distribution of posters within their neighbourhood.
Vendors agree to being photographed & videographed at The Mercantile and to allow market footage to be used for promotional purposes.
Failure to comply with any of the above market terms may result in the immediate cancellation of your application and forfeit any future participation with The Mercantile.
